add a questionnaire to ambassador applications if you want an applicant's instagram, tiktok or youtube handle — or anything else — before you approve them, add a questionnaire. go to settings and click set up questionnaire , right next to the require approval for ambassador applications checkbox. add your questions and save . require approval has to be on for the questionnaire to appear — the two work together. a couple of things to expect: questions are free text, so applicants type their answers into an open field. applicants answer inside the portal after they create an account, not on the sign up form itself. to read the answers, open the pending applications list on your ambassadors page and click view answers . if someone hasn't filled it in yet, you'll see "not answered yet" — answers aren't required before they can apply.

can ambassadors use their own code? yes — ambassadors can use their own code and earn commission on their own purchase. there's currently no setting to block it, and honestly, we don't think you should want one. two reasons it's usually fine, as long as you're profitable on every sale: ambassadors buying your product is a good thing. they need it to take photos, share it on social media, and talk about it with friends. the more they buy, the more they can post. and your profit is the same either way. the money you make on an order doesn't change depending on who used the code. it's also very hard to enforce. an ambassador can check out with a different email address in seconds, and blocking by shipping address just punishes family members and housemates who live with them — anyone can ship to a friend or their office instead. if you really want to prevent it, add a clause to your ambassador terms and end partnerships with people who break it. we'd generally recommend against it: our view is that ambassadors should be able to use their own code.

Can ambassadors use their own code?

delete an ambassador's commission you can remove a single sale's commission from an ambassador's detail page. this is also the fix for refunded or cancelled orders — those don't remove the commission automatically today, so deleting it is the manual remedy. open the ambassadors tab and click view sales & commissions for that ambassador. find the order you want to cancel the commission for. click the delete button and confirm. the commission comes off their totals right away, and any pending payout for that ambassador is cancelled.

do i have to approve ambassador applications? no — manual approval is off by default. the app is designed to keep the path from sign up to promotion as short as possible, so new ambassadors get their code immediately. if someone signs up who you'd rather not work with, you can delete them in the ambassadors tab. some merchants prefer not to share their portal link publicly at all, and only send it to people they've already vetted. that gets you most of the way there with no extra friction. if you do want to review everyone first, you can turn approval on: how to require approval for ambassadors. two things to keep in mind — requiring approval can noticeably reduce how many ambassadors finish signing up, and reject permanently deletes the applicant's account with no way to undo it. if you might want someone later, leave them pending instead.

Do I have to approve ambassador applications?

do you have an affiliate marketplace? no, convertout doesn't have an affiliate marketplace. we're not convinced they beat going straight to the platforms your people already use — instagram, tiktok, youtube. even with a marketplace, the work is the same: you still have to find the right creators and pitch them. your best candidates are usually your existing customers. the simplest way to reach them is adding your portal link to your store navigation and mentioning the program in your post purchase emails. if you have a specific recruiting need, contact support — happy to talk it through.

Do you have an affiliate marketplace?

does convertout work with stripe or other payment processors? yes. your payment processor doesn't matter — stripe, authorize.net, paypal, shopify payments all work the same. we track everything through shopify discount codes, so the only requirement is that you're using shopify's native checkout. when shopify marks an order paid and the order used an ambassador's code, the commission is recorded. paying your ambassadors is separate and entirely up to you: convertout tracks balances, you send the money however you like. you can even change what payment details ambassadors are asked for in settings (the prompt says "enter your paypal email" by default).

Does ConvertOut work with Stripe or other payment processors?

gdpr compliance convertout is built to be gdpr compliant. we don't use cookies to attribute sales. all tracking happens through the ambassador's discount code — when an order comes in with that code on it, we credit the sale. there's nothing following your customers around the web. the personal data we do hold is what ambassadors enter themselves when they sign up for your portal: their name, email address, and the payment details you ask them for. deleting an ambassador in the app removes their account and their data.

request a payout on an ambassador's behalf sometimes an ambassador forgets to request a payout and you'd like to pay them anyway. you can start the request for them. open the ambassadors tab, find the ambassador, and click the edit icon to open their detail page. next to their payouts, click request payout . that creates a pending payout in the payouts tab. pay the ambassador however you normally do, then click mark as completed to close it out.

sign-up link expired if an ambassador sees a "link expired" message, they can get a fresh one themselves in a few seconds. send them to your portal login page and have them click already have an account , then forgot password . the app emails them a new link right away. this works for expired invite links and forgotten passwords alike. if the email doesn't arrive, ask them to check their spam folder — it comes from noreply@convertout.com.

subtract taxes from the commission calculation go to the settings tab and check subtract taxes from commission calculation , then click the green save button at the bottom of the screen. tax is then removed from the order value before we work out each commission. there's a related setting if you'd like to base commissions on the subtotal rather than the order total.

what counts as ambassador revenue? ambassador revenue is revenue from shopify orders that had a convertout generated discount code applied. it's the number both your ambassador commissions and your convertout transaction fee are based on. orders without a convertout code aren't ambassador revenue — no commission is tracked and no fee is charged on them. two details worth knowing. the code has to be one convertout created: a code you made by hand in shopify admin won't be tracked, even if you named it after an ambassador. and we track the sale when shopify marks the order paid , so pending or unpaid orders don't count yet. here's how the fee is calculated: how does billing and pricing work?

when are commissions tracked? what about unpaid orders? we track a commission the moment shopify marks the order as paid . under the hood we listen to shopify's orders/paid webhook. so an order that's still pending, unpaid, or awaiting payment won't show up yet — it appears as soon as payment goes through. two things worth knowing: the ambassador's discount code has to be on the order. no code, no commission. only the percentage based codes convertout creates are tracked. if you make a fixed amount or free shipping code by hand in shopify and give it to an ambassador, no commission is created for it. if an order is paid, used an app generated code, and still isn't showing after a few minutes, send us the order number and we'll take a look.
